AI business process automation for European companies

In short

AI automation is a workflow where data moves between your systems on its own and a language model handles the steps that need reading: an email, an enquiry, a document. A website lead lands in the CRM, a colleague gets a task, the weekly report builds itself. We build these flows on n8n, Make or Zapier. Automating two or three processes end to end starts at €1,250.

What AI process automation is

Classic automation runs rules: “new form submission, create a deal”. It is fast, cheap and predictable, but it cannot read.

AI automation adds a step where a language model reads an email, enquiry or document and turns it into structured data: name, product, amount, urgency. Then rules take over again.

The difference matters for reliability. An AI step can get it wrong, so we check its output: if fields are missing or look odd, the record goes to a person instead of moving on.

An example (an illustration, not a case study) — orders that arrive by email:

StepBeforeAfter
Order email arrivessomeone reads it and hunts for the detailsthe model extracts customer, items, quantities and address
CRM recordcopied by handthe deal is created automatically
Unusual emaillost in the inboxlands in a review queue for a person

What we automate

  • Sales: leads from your website, messaging and social channels land in the CRM; a rep gets a task, the customer gets a reply.
  • Support: requests are sorted by topic and urgency; routine ones get an answer, the rest go to the right person.
  • Operations: orders, payments and shipments stay in sync across your shop, CRM, payment provider and carrier.
  • Documents: data from emails, invoices and forms is extracted into spreadsheets or back-office systems.
  • Reporting: numbers from several systems are pulled into one report on a schedule.

How we choose what to automate first

  • Frequency: the process runs daily or weekly, not once a quarter.
  • Time: each run takes a noticeable amount of someone’s time, and that time can be counted.
  • Cost of error: manual copying causes mistakes that cost money or customers.
  • Stability: the rules do not change every week.
  • Access: the systems have an API or another reliable way to exchange data.
  • Owner: someone is responsible for the process and will sign off the result.

A process that passes all six is a candidate for your first automation. If you are not sure where to start, the strategy sprint (from €500) gives you an opportunity map scored by impact and effort, and a 3–6 month roadmap.

What we advise against automating

  • A chaotic process. If everyone does it differently, describe and simplify it first, or you automate chaos.
  • A rare task. Something that happens a few times a year is cheaper to do by hand.
  • Decisions that carry liability: contract approval, credit limits, HR decisions. An AI step can prepare the data; a person decides.
  • A process about to change: a CRM migration, a team reorganisation. Automate the new version.
  • A flow with no owner. If nobody is responsible for the result, breaks are noticed too late.

n8n, Make or Zapier

We pick the tool for your volume, data and team, not the other way round. In short:

PlatformWhen we choose itPrice from
n8nhigh volume, complex logic, data must stay on your own serverfree self-hosted (server ≈$6–15/month) or €20/month in the cloud
Makequick start, simple to mid-size flows, a visual editor your team can read$9/month (10,000 credits)
Zapiera few simple flows, minimal setup$19.99/month (750 tasks, billed yearly)
Custom integrationan internal service with no ready connectorBusiness engagement, from €3,000

At volume the price gap matters. For example, 10,000 tasks a month on Zapier Professional cost $129 a month billed yearly, while self-hosted n8n costs whatever the server does.

Self-hosting n8n also lets you choose where the data sits, for example on a server in the EU.

How a project runs

  • Discovery: we map the process and count the time spent on manual work. We agree which metrics will judge the result.
  • Design: triggers, data, exceptions, and who owns a failure.
  • Build and test on real data.
  • Pilot on part of the volume: where the process allows it, some requests take the new flow, the rest the old one, and we compare.
  • Handover: documentation and training, so the process stays manageable without us.

From kick-off to launch of two or three processes takes roughly 3–6 weeks. System access is the main variable.

What happens when a flow breaks

  • Every flow has a failure alert, so the owner learns about a break the same day, not a week later.
  • Every flow has an owner on your side and a clear procedure for failures.
  • Failed runs retry automatically, and data that could not be processed waits in a queue instead of being lost. We switch this on in every flow, because the platforms do not do it by default.
  • An AI step whose output fails validation passes the record to a person.
  • Fixes in the first month after launch are included. After that, under a support plan from €170 a month: a reply within one business day, and within four business hours for a critical failure.

Who owns the result

At handover you get documentation: what each flow does, where it reads and writes data, and what to do when it fails. The process should stay manageable without us.

The flows run in your own n8n, Make or Zapier accounts and can be exported.

For reference, 129 EU agencies that publish rates charge €20–260 an hour, median ≈€65 (EU agency directory, September 2026). Whoever builds your flows, insist on documentation and accounts in your company’s name.

What automation costs

Automating two or three key processes end to end is our Pro engagement, from €1,250, with training, documentation and one month of support included. Systems for several teams and custom integrations are Business, from €3,000. Support is optional, from €170 a month.

On top, monthly: a platform subscription (from $9 to €50 a month for typical volumes, or a server for n8n) and model usage if the flow has an AI step. The full breakdown is in our cost guide.

Why the process matters more than the tool

  • 31.05% of EU enterprises that use AI apply it to business administration processes or management, and 34.70% to marketing or sales (Eurostat, 2025).
  • Among AI high performers, nearly three-quarters of respondents report fundamentally redesigning workflows because of AI. Among everyone else, one-quarter.

That is why we start by describing the process, not by choosing a tool.

Questions

Which processes should we automate first?

The ones that run often, take noticeable time, follow stable rules and live in systems with an API. If several qualify, we start where a manual mistake costs the most.

n8n or Make?

Make starts faster and suits simple to mid-size flows. n8n can be self-hosted, including in the EU, and is cheaper at volume. We choose by your volume, data and team.

How is AI automation different from RPA or a plain no-code integration?

A no-code integration moves structured data by rules. AI automation adds a step that reads unstructured text, such as emails or documents, and checks the output before it moves on. Where rules are enough, we use rules.

What happens if a workflow breaks?

An alert fires and the owner knows the same day. Fixes are included for the first month after launch; after that they are covered by a support plan from €170 a month.

Who owns the workflows and the data?

You do. You get documentation, and the flows run in your accounts. The brief and documentation can be handed to any other contractor.

Do we need a developer after launch?

No. You get documentation and training. For changes and monitoring, support starts at €170 a month.
