AI agents for customer support and sales

In short

An AI agent is software built on a language model that completes a step of your process on its own: it answers customers from your knowledge base, clarifies the request, logs the outcome in your CRM and hands a person anything it cannot resolve. BOOOST Labs builds support and sales agents around your existing tools, from €1,250 per agent, with a month of support included.

What an AI agent is, and how it differs from a chatbot

A chatbot follows a script: buttons, keywords, pre-written answers. When a customer phrases something the script did not expect, it gets stuck.

An AI agent understands a free-form message, finds the answer in your knowledge base and takes an allowed action on its own: looks the customer up in the CRM, logs the outcome, creates a task for a colleague. Anything outside what it is allowed to do goes to a person.

An example (an illustration, not a case study). A customer writes on WhatsApp: “My order still hasn’t arrived. What now?” The agent finds the order in the CRM by phone number, reads the delivery status and replies. If the parcel is later than your threshold, it opens a task for a team member with a summary of the chat.

What the agent does in support and sales

  • Support: answers common questions from your knowledge base, on your website and in messaging apps.
  • Support: reads the customer’s history in the CRM, logs the outcome and hands hard cases to a person with a summary.
  • Sales: answers first questions about product, pricing and terms, and qualifies the enquiry against your criteria.
  • Sales: creates the lead in the CRM and passes it to a sales rep with a summary of the conversation.

Support is one of the more mature uses for agents. In McKinsey’s 2025 survey, respondents most often report agent use in IT and knowledge management, including service-desk work.

The best-known study here looked at an assistant helping human support agents, not an autonomous one. Across 5,172 agents, it raised issues resolved per hour by 15% on average, and by about 30% for less-experienced staff (Brynjolfsson, Li, Raymond, Quarterly Journal of Economics, 2025).

How an agent is built

  • Channel: your website or messaging apps, wherever customers write to you.
  • Model: a cloud model (OpenAI, Claude, Gemini) or a local one inside your perimeter.
  • Knowledge base: your product, pricing and policy material. The agent answers from it, not from memory.
  • Tools and hand-off rules: the allowed actions (read a CRM record, log an outcome, create a task) and when to bring in a person.
  • Log and metrics: conversations and actions are stored in your systems for 90 days so any answer can be checked, and answer quality is tracked.

What happens when the agent gets it wrong

Agents make mistakes. A language model can state a wrong answer with confidence. So we do not build an “agent that never errs”; we build a system where errors are visible and their cost is capped.

  • The agent is set up to answer only from the knowledge base. If the answer is not there, it says so and hands over, rather than inventing company policy.
  • Hand-off follows a rule you can read. For example: the customer asks for a person, the amount is above a threshold, or the topic is on your red list.
  • The agent only takes allowed actions. Refunds, discounts and changes to terms stay with a person by default.
  • It goes live on part of the traffic first, with a person reviewing its answers. We widen it once quality meets the agreed criteria.
  • Every error is traced in the log, fixed in the knowledge base or rules, and re-tested.
  • Incidents and repeated errors are handled under the support plan: a reply within one business day, and within four business hours for a critical failure. The channel is Telegram.

Forecasts disagree. Gartner (March 2025) predicts agentic AI will autonomously resolve 80% of common customer service issues by 2029. In January 2026 it predicted that GenAI cost per resolution will exceed $3 by 2030, making full automation too expensive for most organisations. Our takeaway: a person stays in the loop; the agent takes routine requests.

When you do not need an AI agent

  • Volume is low and one person handles it comfortably. Monthly model and support costs can exceed the saving.
  • Every answer needs judgement or carries legal or financial liability. The agent can draft; a person decides.
  • There is no knowledge base, or it is out of date and contradicts itself. Fix the answers first.
  • The process changes every week. You would re-tune the agent faster than it pays back.
  • A button menu or a simple automation would do. Then an agent is extra complexity.

Gartner forecasts (June 2025) that over 40% of agentic AI projects will be cancelled by the end of 2027 due to escalating costs, unclear business value or inadequate risk controls. That is why we estimate the payback first, and say so plainly when an agent will not pay off.

How we implement it

  • Discovery: which process, how many requests, what a person decides and what the agent can. We agree the pilot’s success criteria before we start.
  • Design: knowledge base, hand-off rules, allowed actions, CRM integration.
  • Build and test on real examples from your past conversations, then one to two weeks in shadow mode: the agent drafts replies but sends nothing, and we compare them with your team’s answers.
  • Pilot: the agent handles part of the traffic while a person reviews its answers.
  • Scale: quality metrics, tuning, team training and documentation.

Kick-off to pilot takes roughly 3–6 weeks, depending mostly on system access and the knowledge base.

What an AI agent costs

One integrated agent is our Pro engagement, from €1,250, with training, documentation and a month of post-launch support included. Several teams, custom integrations or a local model: Business, from €3,000. Support after month one is optional, from €170 a month.

On top, you pay the model provider for usage and, if needed, an automation platform: by our estimate, a few dollars to a few hundred per 1,000–10,000 conversations. The cost guide has the breakdown and EU market ranges.

Data, GDPR and where the model runs

With a cloud model, each request is sent to the provider (OpenAI, Anthropic or Google) for processing; some offer regional processing at a higher price. If data must not leave your company, we deploy the model on your own server or private cloud, with hardware quoted separately.

The agent gets only the CRM and tool access it needs for its actions. Your company grants that access, and we hand it back when the project ends.

We do not declare your agent GDPR- or EU AI Act-compliant on your behalf. That assessment stays with your DPO or legal counsel. We sign a data processing agreement (GDPR Art. 28) and give them the data flows, providers and storage locations they need.

Where agents stand in European business

  • 20.0% of EU enterprises with 10 or more employees used AI technologies in 2025, up from 13.5% in 2024: about 55% of large enterprises and 17% of small ones (Eurostat). Among those that considered AI but did not use it, 70.9% cited lack of relevant expertise.

We do not publish case studies with numbers yet. A client result will appear here only with the client’s written permission, a baseline and a measurement period. How we measure is on our methodology page.

Questions

How is an AI agent different from a chatbot?

A chatbot follows a script and gets stuck when a customer goes off-script. An agent understands free-form text, answers from your knowledge base, takes allowed actions in the CRM and hands a person whatever it cannot resolve.

How much does AI agent development cost?

From €1,250 one-off for one integrated agent, a month of support included. Monthly: model usage, a platform if needed, and optional support from €170.

How long until a working pilot?

Roughly 3–6 weeks from kick-off. It depends mostly on system access and the state of your knowledge base.

Can the agent make up an answer? What happens if it does?

It can. That is why it answers only from the knowledge base and hands over anything that is not there. In the pilot a person reviews its answers, and each error is fixed in the knowledge base or rules.

Where is our data processed? Is it GDPR-compliant?

With a cloud model, requests go to the model provider; with a local model, they stay on your infrastructure. The compliance assessment belongs to your DPO or legal team, and we give them a clear description of the data flows.

Will the agent replace our staff?

No. It takes routine requests; complex and sensitive cases stay with people and arrive with a summary.
